Notice about Damaged/Returns Policy
1) Reporting Claims: Universal & Cotton Valley Distributors must be notified within seven (7) days of the delivery regarding any damages/shortages. Please contact accounts receivable at aaccount.receivables@cottonvalley.net for CV & account.receivables@universaldc.com for UDC, including shipping@cottonvalley.net by sending an E-MAIL or FAX with your RAF (Return Authorization Form) with all the necessary information given as follows , Account name, store address, order/invoice number , Item/Sku # of returning products , the reason for return, also please be specific if its pieces return or a full damaged box return , it is important for you to submit a picture of the item itself. This serves not only as evidence of damage but also speeds up the claim's resolution.
2) Please Note: Returns will not be accepted without prior contact or Return authorization form submission within the given 7 day’s timeline.
3) Original Packaging: Any merchandise being returned must have its original carton or packaging.
4) Please Note: All customers are requested to not deduct the credit from their payments without submitting the prior return authorization form or before the credit is issued to towards account.
5) LOST AND/OR DAMAGED MERCHANDISE: The customer is responsible for inspecting and counting the merchandise at the time of delivery. Any physical damages or discrepancies such as crushed, opened, loose, or missing cartons must be noted on the driver’s delivery receipt at time of delivery
All merchandise will be inspected upon return to our warehouse. Credits will be issued within ten (10) days of the date of actual return. Universal and Cotton Valley reserves the right to refuse return of any and all merchandise if the conditions are not met.

1) We can limit the quantities that you can buy for a certain item based on stock availability.
2) Orders placed online are not confirmed until you get a call from a Sales Representative from the office. If you do not receive a call from our sales rep within 1-2 business days, we request you to call our office at 732-248-4276 and we would be glad to help you with your order.
